The 2022 Running USA Industry Conference presented by Race Roster will be held at the Coronado Springs Resort at Walt Disney World in Lake Buena Vista, Florida, from Feb. 20-22. In this document we have attempted to anticipate and answer some of the questions potential attendees may have about the event. What are dates and the host hotel for the conference?

The Running USA Industry Conference will be held at the Coronado Springs Resort on February 20-22, 2022.

When will the conference expo open?

Expo booth packages and other sponsorship opportunities can be purchased on our Event Hub site.

Are there discounts available for registering early?

The standard registration fee is $1,049. If registered by 1/31/22, the cost will be $999. Running USA members are eligible for a $200 registration discount. Contact Nicole for your code.

How do I obtain my member discount to register?

Current Running USA members are eligible for a $200 per registration discount for up to 2 people. Membership discount is not retroactive if you register for the event first and then become a member. If you are a current member in good standing your code will be emailed to you prior to registration opening. If you become a member after registration opens, you must contact Running USA to obtain your discount code BEFORE you register for the conference. Please email nicole@runningusa.org to verify your membership and obtain your code.

Will you be offering access to the conference virtually?

No, there will not be a virtual option for the 2022 conference. The event will be in person only.

What is the standard refund policy?

No refunds or cancellations will be issued unless the in-person event cannot be held. Person to person badge transfers will be allowed until Friday, Jan. 14, 2022. Submit transfer requests to conference@runningusa.org

What if I have already registered but the in-person conference is cancelled?

If the in-person conference is cancelled because it is unable to be held in person, your registration fees will be refunded in full.

If I register for the in-person conference but I am not comfortable attending, will I get a refund?

We will not be offering refunds or deferrals if you decide to not attend and the conference still takes place.

Will you be requiring proof of vaccination or a negative COVID test to attend? 

Running USA will require guests to adhere to the current resort protocols in place at the time of the event. Protocols may change between today and the date of the event. Find the most current version in the Disney Know Before You Go document.

Will you be requiring masks to be worn?

What are the current protocols in place at Walt Disney World?

We recommend that you bookmark Disney’s Know Before You Go document and check for frequent updates by Walt Disney World as it pertains to hotels, Disney Springs and theme parks.

May I bring guests to the meal functions or other conference events?

Due to size limitations all conference activities are limited to registered attendees only.

Are there non-profit or student discounts?

No. Running USA relies on the income from this event to continue year-round education and industry support operations.

Are media passes available?

There are no complimentary full access credentials to the conference. When the final event programming schedule is available, credentialed media may submit a request to attend individual sessions for specific reporting projects, which will be addressed on a case by case basis.

Will the morning runs still happen?

Yes, morning runs will be held Monday and Tuesday around the lagoon at the venue.

 

EXPO FAQs

What is the cost to exhibit?

New for 2022 there is member and non-member pricing for the expo. If you are not currently a member, consider joining to take advantage of the preferred pricing.

Member pricing:

Standard Booth: $3,300

Double Booth: $7,500

Non-Member pricing:

Standard Booth: $3,800

Double Booth: $8,000

What is included in the Standard Booth package?

Each standard booth is 8’x10’ in size and includes: one complimentary conference registration, one 6 foot table, two chairs and a trash can. Additional booth furnishings may be rented from GES Exhibitor Services.

What is included in the Double Booth package?

Each double booth is 8’x20’ in size and includes: three complimentary conference registrations, access to the conference Attendee List (two weeks prior to event), one 6 foot table, two chairs and a trash can. Additional booth furnishings may be rented from GES Exhibitor Services.

If I purchase two single booths next to each other, do I receive the same benefit level of predetermined double booths?

No. Two single booth booths are still considered standard. If there are no more double booths available, please contact us to see if we can create additional double booth packages.

May I share credentials with other booth workers?

All conference attendees must be fully credentialed under their own name. This includes anyone in a booth at any time, even if they do not plan to attend sessions. Badges will be monitored and swapping of credentials will result in the vendor being asked to leave. Running USA provides a tremendous amount of food and beverage hospitality that takes place in the expo and we want everyone to be able to partake.

Can I creatively market my company outside the expo venue?

Guerrilla marketing is not permitted at the event or on the morning run course and may result in loss of access to future conferences. All organized activities at the conference must be approved in advance by Running USA.

Will I receive the attendee list in advance?

The attendee list is provided 2 weeks in advance to those exhibitors meeting the minimum spend threshold.

Are there any additional sponsorship opportunities?

May I serve snacks, water or alcoholic beverages in my booth?

All food & beverage must be purchased directly from WDW Coronado Springs Resort. There are no exceptions to this rule.

Will Wifi be available in the Expo Hall?

Yes, there will be wifi available throughout the expo hall. However, if your booth requires a dedicated line you will need to contract those services through Encore.

What are the booth decor parameters?

All exhibitors are required to keep booth furnishings inside the predetermined 8 x 10 booth space. Extending furnishings or activities beyond that space is not allowed due to code restrictions. Additional details can be found under Terms & Conditions when you select and purchase your booth space.

Can two companies share a booth space?

All booth spaces must be occupied by only one company. Booth sharing is not allowed.
